RosterMe is in development and is provided by arrangement, not open public sign-up. This policy describes how it is designed to handle data and will be finalised before wider release.

Peanut Express ("we", "us", "our") operates RosterMe, a shift-rostering tool for clinical and other teams. This policy explains what RosterMe holds and why.

Information we hold

  • Account & profile โ€” your name, email and role/position used to sign in and to place you on a roster.
  • Rostering data โ€” shifts, assignments, on-call, open shifts and pickups, swap proposals, your availability, standing preferences and once-off requests, and leave/carry-over information.
  • Team & workplace โ€” the hospital, department or team you belong to and its roster configuration and rules.
  • Timesheets โ€” records used to produce timesheet exports for payroll.
  • Calendar feeds โ€” if you subscribe to your shifts, a private calendar feed of your own roster.
  • Diagnostics โ€” basic, non-identifying crash and error information.

Working on behalf of an organisation

Where RosterMe is used by a hospital, department or employer, we generally process rostering data on that organisation's behalf. In that case the organisation decides how the data is used, and its own privacy policies also apply to you. Contact your roster administrator for organisation-specific questions.

How we use it

  • To generate, publish and manage rosters and the requests around them.
  • To produce timesheet exports and calendar feeds you ask for.
  • To keep the service working and fix problems.

How your data is stored and shared

RosterMe's data is stored on servers operated by Peanut Express. Rostering information is visible to the people in your roster group as needed to run the roster (for example, coordinators and, where relevant, colleagues seeing who is on shift). Timesheet exports go where you choose to send them (such as a payroll system). We use a small number of providers to make features work (for example push notifications and account email). We do not sell your data, show advertising, or track you across other companies' apps and websites.

Retention & deletion

We keep data while your account is active or while your organisation uses the service. Because rosters and timesheets can be employment records, some data may need to be retained by your organisation to meet its own legal and record-keeping obligations. See the Account Deletion page, and contact your roster administrator where an organisation is involved.

Security

Data is transmitted over HTTPS and stored on access-controlled servers. We take the sensitivity of workforce data seriously.
